How to Verify Parts

Read the complete label, compare the interfaces, then check the applicable manufacturer documents. Match the offer to your requirement and check again on arrival. Resolve unclear details before ordering to reduce wrong selections, missing accessories and repeated enquiries. You can start with a part number or label photo; identify what still needs checking.
  • 1. Read the complete label

Photograph the complete, uncropped label and the whole unit. Record the manufacturer, full part or order number and suffixes; labels may use P/N, Cat. No. or Order No. A series name such as 3500/22M is only a starting point. Keep the serial number and hardware revision separate. Record firmware from available site records or the relevant software, where applicable.

Record module, circuit-board/PWA and packaging labels separately. A board number is a clue, not automatically the complete module's ordering identity; a MAC address does not replace a part number. If O/0, I/1 or labels are unclear, mark the point Unconfirmed and request better photographs and applicable records. The replacement need not share the old unit's serial number.

  • 2. Check the interfaces

Request front and rear views plus interface close-ups of the actual offered unit. Show port positions and adjacent labels, connector shape, pin count and keying. Distinguish the front configuration connection from rear communications or I/O connections. Compare the mounting, rack or base and terminal numbering with the applicable drawing and safely available records of the original part.

Interface appearance supports identification; it does not establish the full code, electrical pin assignments or system suitability. Do not unplug, open or power equipment just to identify it. Qualified site personnel should follow approved isolation and inspection procedures when access is needed. Record inaccessible details as unknown and request supporting evidence.

  • 3. Read the applicable documents

Check the document title, number, revision and covered products. Search the manufacturer's library and PDF for the complete code and suffixes. Confirm whether each reference identifies the main module, rear I/O, an accessory or a complete ordering configuration. Keep the document revision separate from the unit's hardware revision; read the exact model column, units and footnotes.

For identity, read Spares / Parts List; for options, Ordering Information; for interfaces, Communications; for front and rear modules, Component Drawings; and for substitutions, Compatibility / Upgrade Considerations. Save the document revision and relevant pages. When printed page numbers and PDF page numbers differ, record both so another person can find the same evidence.

  • 4. Match the offer to your requirement

Send your part requirement to sales13@apterpower.com and compare the quotation with the full code, required revision, condition and quantity you need. For the main module, rear I/O, cables, connectors and accessories, record Included, Not Included or Quoted Separately. A catalogue image does not show what is included. If no unit is allocated, agree which evidence must be reviewed before dispatch.

Same-code replacement: confirm revision and retained accessories. Different-code replacement: obtain documented site or manufacturer approval. New installation: check the complete project configuration. Resolve differences affecting fit, ratings or system compatibility before confirming the order. Keep the quotation, unit evidence and technical decision together. For missing information, use the contact page.

DOCUMENTED EXAMPLE

3500/22M: verify the full part

3500/22M is a series name. Confirm the complete module number, not a board or packaging label. Data sheet 161581 (November 2006) (archived copy) lists standard TDI 138607-01 (printed p.6 / PDF p.7) and front RS-232, 9-pin D-sub (printed p.4 / PDF p.5). 161581 Rev. AC lists 288055-01 with USB cable (p.9) and front USB-B (p.4). Rev. AC identifies the document revision, not hardware.

3500/22M is one example. Apply the same checks to other products using their own labels, interfaces and applicable documents. If 288055-01 was ordered but the received module is confirmed as 138607-01, record the difference and contact the supplier before installation. Identification alone does not confirm replacement compatibility.

RECORD A RESULT FOR EACH ITEM

Choose the next action

  • Evidence agrees

    Matched

The available records agree on this field. Save the label photo, quotation or document reference and continue the enquiry. Complete the other applicable checks; one matching code does not confirm system suitability, supply condition or the contents of the whole order.
    Details to send
  • Review the difference

    Different

The confirmed code, rating or supplied items differ from your requirement. Record the exact difference and request a corrected offer or an approved replacement decision. Resolve it before confirming the order; a similar appearance is not a match. Retain the decision with the enquiry.
  • Get missing details

    Unconfirmed

Name the missing field: for example, an unreadable suffix, an undocumented applicable firmware version or an unclear rear I/O label. Request the specific photo or record needed. Continue the enquiry while the point stays open; do not turn missing evidence into an assumed match.
MATCH THE REQUIREMENT AND OFFER

Eight points to verify

Copy one line per question into your enquiry: Required: __; Offered: __; Evidence: __; Result: __; Next action: __. Use Matched, Different or Unconfirmed, and cite the photo or document page so the supplier can answer that point directly.
  • Complete part identity

Match the manufacturer, complete order code and suffixes across your requirement, the unit label and quotation. Distinguish a main module from rear I/O, a board number or an accessory.
  • Revision and firmware

Record hardware revision and applicable firmware separately. Note why a field does not apply; an applicable field without evidence remains Unconfirmed. Check the supported versions using the relevant manufacturer documents.
  • Ratings and signals

Compare supply voltage, AC/DC type, signal type and relevant limits for the exact variant. Read the correct model column and footnotes. Keep conflicting values Different until the requirement is resolved.
  • Interfaces and rear I/O

Check connector keying, terminal numbers and pin assignments against the applicable drawing. Confirm the rear I/O, base and mounting arrangement. Ask for actual-unit photos when the supplied configuration is unclear.
  • System suitability

Check controller, rack, network, hardware, firmware and software requirements. A newer model may require adapters or configuration changes. Have the responsible site technician or manufacturer confirm the proposed combination.
  • Condition and evidence

Confirm condition and request current unit photos. For offered tests, record the date, unit or batch, checks, conditions and results. Photos alone do not prove authenticity or performance; tests cover only their documented scope.
  • Supply scope

List every main module, rear I/O, cable, connector and accessory. Mark each Included, Not Included or Quoted Separately, and identify existing items you intend to retain. Resolve omissions before accepting the quotation.
  • Commercial terms

Confirm quantities by complete variant, dispatch arrangements, destination and the supplier warranty terms stated in the offer. Keep these terms with the quotation; do not infer them from a product photograph.

5. CHECK ON ARRIVAL

Match the delivery to the agreement

On arrival, check: (1) complete code, agreed revision and quantity; (2) the agreed unit's serial number, if recorded, not the old installed unit's S/N; (3) main module and rear I/O against the quotation; (4) included cables, connectors and accessories; (5) packaging, connectors and housing for visible damage; and (6) inspection records tied to the actual unit and their stated scope. Keep photographs and packaging records. Report differences before installation and follow the approved site procedure for functional checks.
