Before dispatch
01
Match the unit
Connect the full model and serial number to the offered unit.
02
Read the scope
Check the inspection date, method, coverage and recorded result.
03
Agree the scope
Agree which records must be reviewed before shipment.
Define the documents before quotation
Send the full part reference, quantity and required documentation with your enquiry. Tell your account manager which records your receiving or engineering team needs. Confirm what is available for the offered units before accepting the quotation, including any inspection that must take place before dispatch.
Connect the evidence to the product
A useful document identifies the product it covers and the checks actually performed. Review these three points against the quotation and unit labels.
Model and serial number
Match the full model, revision and serial number on the record to the unit. Resolve missing or inconsistent identifiers.
Inspection scope
Check the inspection date, quantity covered, method and result. Ask whether the record covers each unit or a selected sample.
Document source
Identify who issued the record and its reference number. Confirm that its stated scope applies to the offered product.
Six steps from enquiry to receiving
01 / Specify
Set the document requirements
List the full model, quantity, required records and who must approve them.
02 / Confirm
Confirm what can be supplied
Ask which photos, inspection records and shipping documents are included in the offer.
03 / Match
Match records to the units
Compare model, revision, serial numbers and quantities across labels, records and the order.
04 / Review
Review scope and exceptions
Check dates, methods, results and exclusions. Resolve missing evidence with the responsible reviewer.
05 / Release
Approve the dispatch file
Agree the final document set and release conditions. Keep the approved version with the order.
06 / Receive
Check the received items
Match arriving labels and quantities to the packing list and retained records; report discrepancies promptly.
Read the result within its stated scope
Photos show visible identity, condition and packaging. An inspection record describes the checks performed; a functional test covers the functions and conditions recorded in that test. Have your engineer decide whether that evidence meets the application requirements, and resolve open points before release.
The right document must refer to the right unit.
Keep product identity, inspection scope and the approved order connected.
Three common document questions
Product photos
Do photos prove function?
Photos show labels and visible condition. Request a separate record for any agreed functional check.
Inspection coverage
Does it cover every unit?
Check the listed serial numbers and inspected quantity. A sample record does not cover every item automatically.
Document timing
When should I request it?
Specify required records before ordering so availability, inspection scope and release timing can be agreed.
Your document review checklist
Order reference
Quotation, purchase order and document reference numbers.
Product identity
Full model, revision, serial numbers and quantity covered.
Issuer and date
Named issuer, inspection date and document issue date.
Scope and result
Checks performed, recorded results, limitations and open points.
Required attachments
Agreed unit photos, inspection records and packing information.
Approval and receipt
Named reviewer, approved document version and receiving check.
Keep the approved documents with your purchase order.
